Adding Surveys

Adding surveys to the DigitalRockArt application is an administrative function limited to those persons with an administrative ID. Adding a new survey requires the following information:

  • Site Owner
  • Site Name
  • Site Number
  • Latitude and Longitude rounded to nearest degree
  • Survey date or start date
  • Recording team members (names and email addresses)
  • Recording team member to be given update authority

If the rock art site is on private land, the administrator will require a copy of a written agreement between the private land owner and the recording team leader. A sample form can be found at the bottom of this page.

If the rock art site is on public land, surveys will be added at the request of a land manger. Prior to the addition of a survey, there is a requirement for a Volunteer Service Agreement 1 between the administrators of the DigitalRockArt web site and the land manager to provide computer services and support. If the rock art recording is to be performed by volunteers, most land managers will require that each individual on the recording team complete a Volunteer Service Agreements.

The sample wording paragraphs below are suggestions for verbage that could be included under the project or task description. The main intent is to document the understanding that the rock art recording data will be added to a database that can be accessed via the Internet.

Sample Wording for VSA between Administrators and Land Manager

Volunteer duties will include providing computer services and support for the DigitalRockArt web application to selected employees and volunteers involved in the recording of rock art sites in the _ _ _ _ _ _ _ _ _. Names of individuals and rock art sites will be provided separately and may be modified from time to time. The employees and volunteers will be provided with logon IDs and passwords giving them access to the DigitalRockArt application. The DigitalRockArt application, the web pages created by the application, and the Rock Art Inventory CD-ROM or DVD created by the application are copyrighted material.

In addition to Internet access to the application and data, periodic distributions of the recording data will be made to the land manager and recording team members. If desired, the land manager will receive data on paper and/or CD-ROM/DVD that may be placed in the public domain. In addition, the land manager will receive copies of the copyrighted Rock Art Inventory on CD-ROM or DVD. By this agreement, the land manager may make an unlimited number of copies of the Rock Art inventory for internal use by the agency, but is restricted from selling copies without a supplemental agreement.

Site location information will be kept confidential. No exact location information will be kept on the DigitalRockArt database.

Sample Wording for VSA between Volunteer Recorders and Land Manager

The volunteer tasks include recording rock art sites in the _ _ _ _ _ _ _ _ _ under the direction of _ _ _ _ _ _ _ _ _. The digital photos and recording data will be entered into the DigitalRockArt database on the Internet. Data entered into the application will exclude any references or images that may reveal the site's location.

Adding Images

Adding images to the DigitalRockApplication application may be done only after the requirements for identifying and adding a survey is completed. For very small surveys with a few images, it is possible to upload the images directly from the recorders computer into the database. In most cases, recorders will prefer mail a CD-ROM containing the selected images to the administrator. The CD-ROM should be marked with the site name and name of the land manager.
